It was packed as though nobody would ever touch it again.

What happens next — whether the factory reworks, the forwarder absorbs it, the insurer pays, or you eat it — is decided by documents written months earlier, or by documents nobody wrote. Transit damage on furniture is rarely a manufacturing defect and almost never a shipwreck. It is handling. Furniture packing is not one material but a stack, and each layer answers a different failure. Asking for “export packing” without naming the layers means accepting whatever the factory’s default is, which is usually calibrated to its largest existing customer rather than to your lane.

Knock-down or assembled: the decision that moves the freight bill

Whether a piece ships assembled or in knock-down form changes cube, damage exposure and where the labour sits. It is a commercial decision as much as a packing one, and it should be made before tooling and packing design rather than after the first quotation.

Assembled pieces arrive ready to sell and carry the factory’s own build quality to the customer. They also occupy far more container volume, present large unsupported spans to handling forces, and cannot be repacked cleanly if a carton is opened for customs examination. Knock-down construction cuts cube, protects flat panels in a way assembled frames cannot, and lets damaged parts be replaced individually instead of condemning the unit — but it moves assembly labour and assembly risk to the destination and adds two failure modes: missing hardware and unusable instructions.

If knock-down is chosen, three details deserve contract language. Hardware should be bagged per unit and secured inside the carton so it cannot migrate. Put the packing specification in the purchase order

Most packing disputes are not disagreements about facts. They are disagreements about what was agreed, and they are won by whoever wrote something down. A packing annexe to the purchase order does not need to be long, but it should be unambiguous on the following points.

  • Carton construction and board grade, with the test method named, not just a number
  • Maximum packed weight per carton, which controls whether one person can handle it safely at destination
  • Corner and edge protection stated as a count and a position, not as “protected”
  • Inner and master carton quantities, so the receiving system can be set up before arrival
  • Carton marking: item code, quantity, gross and net weight, dimensions, handling symbols, country of origin, and any retail customer’s labelling requirement
