Choosing between a hand rubbed wood wax oil finish vs UV cured lacquer flooring is usually presented as an aesthetic decision — matte and natural against satin and uniform. It is not. It is a decision about who is responsible for the floor after handover, and about whether a scratch in year three costs forty dollars and a rag, or means sanding an entire room back to bare timber.

If you are importing floors for a residential remodel programme, a hotel FF&E package or a distribution range you will warranty, that difference belongs in your risk register before it belongs in your mood board.

Two different physical things, not two shades of the same thing

UV-cured lacquer is a film. Liquid coating is roller-applied on a line, passed under ultraviolet lamps, and cross-links in seconds. Several coats go on in a single pass through the machine — typically a primer, filler coats, and topcoats — with an intermediate sanding between. What you end up with is a hard plastic membrane sitting on top of the wood, mechanically keyed to it but not part of it. The wood is sealed underneath.

Hard-wax oil, or wood wax oil, is not a film. It is a blend of drying plant oils and waxes that soaks into the top cell layers of the timber and cures there by oxidation, over days rather than seconds. The wax component sits at the surface as a very thin, permeable layer. Nothing bridges across the wood as a continuous membrane. The grain stays open enough to feel through your foot.

That single structural difference — membrane on top versus oil inside — generates every practical consequence below.

Applying it by hand rather than by machine is a further step away from the volume model. The repairability argument, stated precisely

This is the reason specifiers choose oil, and it is worth stating mechanically rather than as a slogan.

On a lacquered floor, damage is damage to the film. A scratch is a groove cut through the membrane; a dent is a crushed film over crushed wood; a scuff is a change in the film's surface texture, which reads as a dull patch. You cannot fill a lacquer scratch and blend it, because a fresh application of lacquer will not chemically fuse with cured lacquer around it — it sits as a new film with a visible edge and a different sheen. The repair procedure is to abrade the whole surface plane and re-coat it. In practice, that means the whole board at minimum and, because sheen and colour will not match across a joint, usually the whole room. Site re-coating also means moving the client out, ventilating, and accepting a site-applied finish over a factory-applied one.

On an oiled floor, damage is damage to wood that has oil in it. A scratch exposes timber that is dry rather than timber that is bare and unlike its neighbours. The repair is local: clean the area, abrade lightly with a fine pad, wipe on oil, let it draw in, buff off the excess. The repaired patch merges because the new oil enters the same cell structure as the old — there is no film edge to see. A competent housekeeper can do it. A deeper dent can be steamed, sanded locally and re-oiled without touching the rest of the room.

That is the trade in one sentence: lacquer resists damage better, oil recovers from damage better.

Which matters more depends entirely on where the floor is going. A hotel corridor with luggage trolleys takes constant abrasion and cannot be closed for a room-wide sanding — but it also cannot be closed for weekly spot repairs. A residential library floor takes very little abrasion but the client cares intensely about the two dog scratches in front of the fireplace. Match the finish to the damage profile, not to the photograph.

The obligation you are transferring to the end client

Here is the part that gets skipped in the specification and then arrives as a complaint.

An oiled floor is a maintained floor. It is not a sealed surface that gets damp-mopped for twenty years. Cared for properly it lasts indefinitely and improves; cared for like a lacquered floor it looks tired within two years and the client blames the timber.

The obligations that transfer:

  • A first maintenance treatment after installation. Newly laid oiled floors are commonly given an additional maintenance coat once the site is clean and traffic starts, to top up oil lost to site protection and cleaning. If nobody tells the client this, it does not happen.
  • The right cleaner. Oiled floors need a pH-neutral cleaner intended for oiled wood; alkaline general-purpose cleaners strip wax. Steam mops are the fastest way to ruin one — heat plus water forced into open grain.
  • Damp, not wet. No standing water, no wet mopping, spills wiped promptly. Open grain absorbs.
  • A recoat cycle. Periodic refresh of the wear areas — hallways, in front of sinks, the pivot point by the kitchen island — rather than the whole floor. Frequency depends on traffic.
  • Cure time before rugs and furniture. Oil cures by oxidation and needs air. Covering it too early leaves patches that are still soft and can print.
  • The right product on hand. Repairs need compatible oil. Not "an oil" — the same product family the floor was finished with.

A factory finish warranty on an oiled floor is normally conditional on documented care, which means it only holds if that care sheet reached the end user and was followed — so decide at contract stage who supplies the documentation. None of this is unreasonable, and high-end clients frequently prefer it. What causes disputes is discovering it after handover. If you are the importer or the FF&E buyer, you are the one who has to move that information down the chain — a handover document, a maintenance sheet, and ideally a kit that goes into the building with the floor. The same principle applies whether you are supplying a residential remodel or an operator's engineering team, and it belongs in the same handover pack as the rest of a hotel FF&E specification.

Specifying an oil finish: what to establish, and where it belongs

Four things to establish before you specify oil

These are not published on product pages. Put them to the supplier as questions and get written answers.

1. How many coats, and what is the cure and handling time before packing? Multi-coat is a description, not a specification. Ask for the number of coats, whether there is an intermediate buff or abrasion between them, and — this is the one that causes shipment damage — how long the boards cure before they are wrapped and boxed. Under-cured oiled boards wrapped in film can mottle, and the mottling appears when the cartons are opened in the destination warehouse, weeks later. A supplier who has shipped oiled floors overseas will have a defined dwell time between finishing and packing. Ask what it is.

2. What is the oil product, and where is its data sheet? You need the product identity in writing for three separate reasons: so your client can buy compatible oil for repairs in their own market; so you can pass a technical data sheet and safety data sheet to a specifier who asks; and so you can answer emissions questions. A plant-oil finish is generally low in volatile organic compounds compared with solvent-based coatings, but "generally" is not a document. Ask for the VOC content, and if the floor is going into a children's facility or a healthcare project ask whether the cured surface has been tested against the relevant surface-migration standard — the EN 71-3 heavy-metal migration test is the one usually cited in that context. Ask for the report, not the claim.

3. What abrasion or scratch data exists on the finished surface? The European test methods standard for wood floor coverings, EN 13696, covers wear and impact test methods; Taber abrasion is the common laboratory measure. Few craft workshops abrade-test every finish, and that is not damning by itself — but the answer tells you what you are dealing with. If no data exists, say so in your own product literature rather than implying a performance number you cannot support.

4. What recoat interval do you recommend, and is a maintenance kit supplied? Ask for the recommended interval by traffic level, and ask whether the factory can supply oil, applicators and a written care sheet with the order. A maintenance kit shipped with the floor is worth more to your client relationship than almost anything else in the carton, and it costs very little to add at the factory.

Where each finish belongs

A practical allocation, given the same species and construction:

  • Private residence, high-end, engaged owner — oil. Repairability and the tactile surface are what the client is buying, and there is somebody who will maintain it.
  • Hotel guest room — oil is workable; damage is light and housekeeping can be trained on spot repair.
  • Hotel corridor, lobby, restaurant floor — think hard. Heavy abrasion favours a film, and an operator may not staff for oiled-floor maintenance. If oil is specified for continuity with the rooms, write the maintenance regime into the operator's handover.
  • Rental or spec-build property — lacquer generally. There is no maintainer, and the film's resistance is doing the work.
  • Restoration and heritage work — oil. It is closer to the historic surface and can be maintained in place without removing original material.
  • Retail range you warranty at distance — decide what you can support. An oiled range needs care documentation, a repair kit line item, and an in-market oil supply. If you cannot provide those three, the returns will teach you why.

Common questions

Can an oiled floor be re-coated with lacquer later, or the reverse?

Going from oil to lacquer requires sanding back to bare timber, and even then residual oil in the grain can interfere with adhesion — it is a job for a specialist and not one to plan on. Going from lacquer to oil also requires a full sand, because oil cannot penetrate through a film. Treat the choice as effectively permanent for the life of the wear layer.

How do I judge an oiled sample against a lacquered one?

Not by looking at them side by side under warehouse light. Ask for two boards in the same species and finish, keep one wrapped in the dark as a retained reference, and put the other in service — scratch it with a key, drip water on it, leave it in sunlight for a month. Then compare. Oiled floors amber, so a retained sample kept in the dark is also what you will need at pre-shipment inspection to argue about colour. That retention discipline is the same one used in furniture sample approval, and it applies here for exactly the same reason.

Does the sanding grit before oiling matter?

It matters more than on a lacquered floor, and it is a genuine quality signal. Sand too fine and the cells close, so the oil cannot penetrate and sits on the surface, giving a thin, patchy result. Sand too coarse and absorption is uneven and blotchy. Asking a supplier what final grit they sand to before oiling is a short question that tells you quickly whether the finishing department is thinking or following.

What to ask the supplier next

For an oiled specification, send this list before sampling:

  1. How many oil coats, with what process between them, and what is the cure time before packing?
  2. What is the oil product, and can you supply the technical data sheet and safety data sheet?
  3. What is the VOC content, and is there surface-migration or abrasion test data on the cured finish? Ask for the reports themselves, and check the issuing laboratory and the entity named on them.
  4. What final sanding grit is used before the first oil coat?
  5. What recoat interval do you recommend for residential and for commercial traffic?
  6. Can you supply a maintenance kit and a written care sheet with the order, and in what language?
  7. Can you supply spare finished boards from the same production and finishing batch for future repairs?
  8. Will you retain a sealed reference sample at the factory for colour comparison at inspection?

Then get two samples of the same species, one oiled and one lacquered if the factory offers both, and abuse them for a month before you commit. A finish decision made from a photograph gets re-made later at the client's expense.
